Fleet operations don’t fail because teams don’t work hard—they fail because breakdown risk, downtime, and utilization issues aren’t visible early enough to prevent them. We built a predictive fleet analytics platform for a trucking & logistics SaaS that unified telematics and operations data with maintenance history to deliver productivity insights, downtime drivers, and predictive maintenance risk scoring—so fleet managers could schedule maintenance proactively, keep assets on the road longer, and improve utilization.

The challenge: maintenance was reactive, and productivity data wasn’t decision-grade

The platform had strong operational data scattered across systems—telematics/GPS events, driver activity, trips, fuel, work orders, service history, and inspection notes—but it wasn’t connected into a single model. Maintenance was largely reactive (“fix after failure”), and ops teams lacked a reliable way to quantify productivity losses from downtime, route inefficiencies, or recurring fault patterns.

What we set out to solve:

We aligned on outcomes that matter to fleet leaders: fewer surprise breakdowns, higher asset uptime, and operational clarity on what’s driving productivity and cost.

Solution overview

We implemented a fleet analytics foundation that standardizes telemetry + operations + maintenance data into OneLake, models it into a decision-grade warehouse (Fabric Warehouse), and serves dashboards in Power BI. On top of the KPI layer, we built predictive signals that estimate failure risk and recommend maintenance timing—so teams can move from reactive fixes to proactive planning.

1. Unified data foundation (OneLake)

We consolidated key sources into a unified event and master-data structure:

  • Asset master (vehicle metadata, make/model, age, service intervals)
  • Trip and utilization events (routes, distance, idle, load cycles)
  • Driver activity (duty status, productivity signals, safety events where available)
  • Maintenance history (work orders, parts, fault codes, service notes, vendor performance)

This enabled consistent join paths and avoided “multiple versions of the same fleet reality.”

2. Decision-grade fleet analytics model (Fabric Warehouse)

We modeled the fleet operating system into analytics-ready tables designed for operations:

  • Utilization (asset hours, miles, loaded vs empty, idle time)
  • Downtime (planned vs unplanned, severity, MTTR, downtime cause categories)
  • Maintenance cost (labor/parts, vendor, recurring issues, cost per mile)
  • Operational performance (on-time patterns, route efficiency proxies, exceptions)

The key was making KPIs comparable across depots, vendors, and vehicle cohorts.

3. Predictive fleet analytics: failure risk scoring and maintenance forecasting

We built predictive signals that transform history into action:

  • Failure risk score per asset (likelihood of breakdown in a time window)
  • Next-service forecast (recommended service timing based on usage + condition patterns)
  • Anomaly detection for early warning (sudden changes in fault frequency, idle, fuel burn, temperature proxies where available)
  • Recurring fault clustering (patterns by make/model, depot, vendor, route type)

Outputs were designed to be explainable: every risk flag links back to the drivers (recent fault bursts, overdue intervals, abnormal utilization, repeat repairs).

4. Operations dashboards in Power BI (control tower + drilldowns)

We delivered dashboards built around fleet workflows:

  • Fleet control tower (uptime, utilization, downtime, maintenance backlog)
  • Predictive maintenance cockpit (risk-ranked vehicles + recommended actions)
  • Downtime root-cause views (fault code trends, vendor MTTR, depot hotspots)
  • Cost and efficiency views (maintenance cost per mile, repeat repair rates, parts drivers)

This enabled ops + maintenance teams to align on priorities without ad-hoc reporting.
